Modern Revenue Operations For Owner-Run Businesses

Weak Operations Are Hurting Your Business Goals.

Whether you want the biggest name in your market or a steady business with your evenings back, I build and manage the systems behind how you win customers, serve them, and keep them, so operations move you toward your goals instead of quietly working against you.

02 — Common Operational Issues

Modern Businesses Are Still Dealing With 2005 Problems, But You Don’t Have to.

Every one of these issues makes the customer experience worse, makes your employees less effective, and loses you money. RevOps is the solution to making sure your business doesn’t run like it’s 2005.

  • Paper Intake Forms at the Doctor

The same details get written down, typed up, and typed again. Every rekeying is a chance to lose the patient — and an hour of staff time nobody bills for.

  • A Restaurant With No Website

The menu lives on a photo in a social post from 2023. People who wanted to book you looked, could not find hours, and went somewhere else.

  • Three Plumbers and No Answer

Calls come in while everyone is under a sink. There is no callback list, so the job goes to whoever answered first — and that is rarely you.

  • Quotes That Live in One Person’s Inbox

When that person is on holiday, the pipeline is on holiday. Nobody else can say what was promised, at what price, or when it was sent.

  • Two Systems That Never Talk

The booking tool and the invoicing tool both hold half the truth. Somebody reconciles them by hand every Friday, and the numbers still disagree.

  • Nobody Knows Which Leads Went Cold

There is no follow-up rule, so follow-up depends on memory. The enquiries that needed one more nudge are indistinguishable from the ones that said no.

03 — Why you need RevOps

How Do We Improve Customer-Facing Performance?

RevOps (Revenue Operations) answers that by improving the process and tools across sales, marketing, and customer service. One unified system of efficiency built to create smoother and predictable outcomes for the customer and the company.

When RevOps is working, customers are satisfied, employees are supported, and the business performs how it should.

Operations before and after revenue operations work
Without RevOps With RevOps in place
An inquiry sits for hours before someone gets to it. Every inquiry is handled in seconds while fresh.
Customer follow-up happens when someone remembers. Follow-up is scheduled the moment the quote goes out.
Customer history is split across an inbox, a notebook and a phone. One record per customer that anyone on the team can read.
There’s no single place to analyze operational performance. You see the performance of every cog in the machine with unified analytics.

RevOps Audit & Workshop

See your whole operation in one picture, then build something with it before committing to anything bigger.

Diagram of a customer workflow — enquiry, quote, job, invoice — with two of the handoffs marked as stalling, and the session’s findings below. Customer workflow — as it runs today Enquiry Quote Job Invoice Stalls here Stalls here Findings One fix built before we finish

Overview

Most operations were never designed. They grew one decision at a time, and nobody has seen the whole thing in one place since. The audit fixes that. Over three days I work alongside your team to map how marketing, sales, and customer service actually run, what tools you’re paying for, how well they connect, and where the work stalls.

Then we sit down for two hours and go through it. What’s working, what isn’t, and what’s worth doing about it. I’ll show you what modern RevOps and AI actually do, using your operation as the example instead of somebody else’s. Then we pick one problem off your list and build a working solution for it before the session ends. You keep it.

What’s Included

  • Three days of audit work alongside your team, not a questionnaire
  • A full map of marketing, sales, and customer service as they actually run
  • A review of the tools you pay for and how well they connect
  • A two-hour working session, on site or remote
  • One AI build for a problem you choose, completed during the session
  • A written next-step plan and a follow-up call a week later

What You Receive

The RevOps Audit

Your whole operation in one document. What’s working, what’s costing you, and where the openings are.

A Working AI Build

Built during the session for a problem you picked. Yours to use from day one.

Session Recording

The full workshop, so anyone who missed it can catch up and new staff can be brought up to speed.

Next-Step Plan

What to do first, what to leave alone, and what your team can handle without me.

How It Runs

  1. The Audit

Three days working with your team. I review operations, map the workflows, and build the report.

  2. The Session

Two hours, on site or remote. Findings, questions, and a build we do together.

  3. The Write-Up

Session notes, next steps, and any revisions the workshop turned up in the audit.

  4. The Follow-Up

A call a week later, once you’ve had time to act on it and know what you want to ask.

Best For

  • Owners Who Want The Full Picture

You’ve never seen marketing, sales, and service mapped in one place.

  • Teams Wondering Where AI Fits

You know it’s worth using and want to watch it work on your own operation before paying for a build.

  • Anyone Testing The Working Relationship

The low-commitment way to find out how we work together before a bigger project.

Questions People Ask

What do we need to have ready?
Access to your systems, and the people who do the work daily in the room. Usually two to five people, including someone who can approve a change.
What do we build in the session?
Whatever you pick off the audit. Usually something that kills a repetitive task, like drafting quotes, routing inquiries, or summarizing calls.
What if the audit says we don’t need much?
Then that’s what it says. I’d rather tell you that than sell you a project you don’t need.

CX Revenue System

The standard fix, installed fast. For businesses that need a lot of the basics handled and don’t need any of it custom.

Diagram of one dashboard holding counters for new leads, pipeline and awaiting reply, a follow-up queue, and the pipeline broken down by stage. Leads · Pipeline · Follow-up 24 New leads 11 In pipeline 6 Awaiting reply Pipeline Closed 9 Nothing waits on someone remembering

Overview

Most businesses don’t have one gap. They have a dozen small ones. Quotes with no follow-up. Missed calls nobody returns. Lack of strong reviews. Past customers nobody contacts again. Each one is small enough to ignore, but together they’re the difference between a decent year and a good one.

This closes all of them at once. We sit down and work out which ones actually apply to you, then I build and launch the system inside 72 hours. Proven pieces, set up for how you already work, running before the week is out.

What’s Included

  • A working session to pick the solutions your business actually needs
  • Build and launch inside 72 hours
  • Customer capture, follow-up, booking, and pipeline in one place
  • Missed call text-back, so nobody sits waiting on a callback
  • Automated review requests and reputation management
  • Marketing campaigns that bring past customers back
  • A written runbook and a recorded team walkthrough
  • 28 days of post-launch support

What You Receive

The CX System

Configured, launched, and running across marketing, sales, and customer service.

Written Runbook

Plain-language documentation of what’s running, why, and how to change it.

Team Walkthrough

A recorded session, so the people using it know how and new staff can catch up later.

28 Days of Support

I stay on it while the system meets real customers, and fix whatever the first month turns up.

How It Runs

  1. Pick the Solutions

We go through what your business actually needs. You don’t pay for parts you won’t use.

  2. Build and Launch

Configured and live within 72 hours.

  3. Walk It Through

A full walkthrough, then 28 days of support while it settles in and we tighten the weak points.

  4. Hand Over

The runbook and training are yours. Ongoing support is optional from there.

Best For

  • Businesses Missing The Basics

You need a lot of standard things handled, and none of them are unusual.

  • Owners Who Want It Working This Week

Waiting a quarter for an operations project isn’t realistic right now.

  • Anyone Not Ready To Spend On Custom

Solve the common problems first, then find out what’s actually left.

Questions People Ask

How is 72 hours possible?
Because nothing here is being invented. The pieces are proven, so the work is picking the right ones and setting them up for how you run.
What if it doesn’t work out?
Full refund if you cancel within 14 days, half back before 31 days. After that you keep the system and I keep the fee.
Do we have to keep paying you?
No. The monthly support is optional and only starts after the first 31 days. Plenty of businesses take the runbook and run it themselves.

Service 03 Scoped to the problem

Custom RevOps Project

For the work that doesn’t fit a standard shape. You already know there’s a problem, and you need a personalized solution to fix it.

Diagram of two business systems joined by a scoped build that matches, maps and checks records between them, then reconciles the two nightly. System A Source System B Destination Scoped build Match Map Check Reconciled nightly Edge cases named and priced before anything is built

Overview

Some problems are specific enough that a packaged answer would be the wrong one. A quoting process with rules that only live in one person’s head. Two systems that have to agree every night and were never built to. Eleven years of records that need to survive a migration intact. A report you need every Monday that currently costs somebody a full day to put together.

We scope it in writing first, with the edge cases named and the price fixed against them. Then I build, and you see where it stands every week instead of at the end. It gets tested against real usage before it goes anywhere near live, and you get the documentation to run it once I’m gone.

What’s Included

  • A written statement of work with scope outlined and project details defined
  • A flat price agreed before any building starts
  • The build itself, with a progress update every week
  • Testing against real usage
  • Technical documentation complete enough for another developer to pick up
  • A handover walkthrough and two weeks of post-project support

What You Receive

Statement of Work

What’s being built, what isn’t, and how we’ll know it works. Agreed before anything starts.

The Build

Delivered with weekly progress updates, so nothing is a surprise at the end.

Technical Documentation

Enough detail that another developer could take it over without calling me.

Handover and Support

A recorded walkthrough, plus two weeks of support once it’s in real use.

How It Runs

  1. Scope

We define the problem precisely and deliver a finalized statement of work.

  2. Build

The build itself, with a progress update every week.

  3. Test

Run against real usage until most edge cases are covered.

  4. Hand Over

Technical docs, walkthrough, and two weeks of support. Ongoing support optional from there.

Best For

  • Problems With No Product

The rules are specific to your business and nothing off the shelf models them.

  • Wasted Resources In Operations

Business with too many under-utilized and disjointed systems, costing money and time.

  • Work You Can’t Afford To Get Wrong

Migrations, integrations, and data that has to arrive intact.

Questions People Ask

How is it priced?
Flat, against the statement of work. If the scope changes we re-price it openly instead of quietly adding to the bill.
How will you communicate progress?
Phone/video call and email progress updates every week. Accessible throughout the week via email or phone.
Do we own it?
All of it. Code, configuration, and documentation, with nothing locked to me.

RevOps Partnership

An operations person on the inside, without the hire. Two ways to run it, depending on whether you want the work done or the thinking done.

Diagram of a quarterly review: a line climbing from Q1 to Q4 above the four stages of the customer journey — attract, convert, serve, retain. Quarterly review — performance across the journey Q1 Q2 Q3 Q4 Attract Convert Serve Retain

Overview

Systems drift. Staff change, volume rises, a supplier changes something on their end, and what worked in March quietly stops working in September. Usually nobody notices until a customer does. A partnership means somebody is watching for that on purpose.

There are two ways to run it. RevOps Specialist is the hands-on version: quarterly audits, system monitoring and support, custom builds, performance analytics, and the governance that keeps everything coherent as the business changes. RevOps Consultant is the advisory version: set hours each month for working calls, email access, and everything in my library of systems and templates. Your team does the building. I make sure it’s the right building.

What’s Included

  • A monthly performance update against your real numbers
  • A full audit every quarter, not just when something breaks
  • Improvement work included rather than quoted each time
  • Direct access when something breaks, not a ticket queue
  • Operational governance, so the systems stay coherent as you grow
  • Quarterly planning against where the business is heading

What You Receive

Monthly Performance Updates

A written read on what moved, what stalled, and what I’m changing about it.

Quarterly Audits

A full review of the operation every quarter, so drift gets caught while it’s still small.

Continuous Improvement

Ongoing work on the systems, included instead of quoted each time.

Direct Access

A number that reaches me when something is actually broken.

How It Runs

  1. Establish

We start from a working system, usually one I built, sometimes one you already had.

  2. Review

Monthly against the numbers, quarterly against the whole operation.

  3. Improve

Ongoing work on whatever the review turned up, without a new quote each time.

  4. Plan

Quarterly, so operations move ahead of the business instead of behind it.

Best For

  • Businesses Past The Evening-Job Stage

Operations matter too much to be handled after hours by whoever has time.

  • Teams Without An Ops Hire

You need the function and not yet the full-time salary.

  • Owners Who Want To Stop Firefighting

You’d rather somebody caught these things before you did.

Questions People Ask

What’s the difference between the two options?
Specialist means I do the work. Consultant means I advise while your team does it. Most businesses start with Specialist and move to Consultant once their own people can carry it.
Why a six month minimum?
Because nothing meaningful about operations shows up in four weeks. The first quarter is establishing, and the second is where it starts compounding.
Can we still commission a one-off build?
Yes. Anything large is quoted separately, and it goes to the front of my queue.

24/7 AI Lead Intake Voice Agent

A realistic AI voice assistant built to eliminate missed opportunities by handling high-volume inbound calls, scheduling, and lead routing in real time.

Illustration of an AI voice agent: a phone showing a live call waveform, ringed by panels for customer support, appointment scheduling and database integration.

The business was losing enquiries to voicemail during working hours because the people who answer the phone are the same people doing the job. The agent picks up on the first ring, captures the details that matter, books directly into the calendar where the job is straightforward, and routes anything unusual to a human with the context already written down.

SaveSmart: Rapid AI-Powered MVP Development

An end-to-end web app MVP for coupon tracking, developed at a fraction of traditional costs using a modern AI-first tech stack.

The SaveSmart app on a phone, showing $482.50 of total savings, a bar chart of savings by month and a list of active coupons.

The goal was to find out whether the idea had legs before committing to a full build budget. Working AI-first through the scaffolding, the MVP reached testable users in weeks rather than months — which meant the validation question got answered while it was still cheap to answer.

Automated AI Lead Qualification & Enrichment Pipeline

An intelligent workflow that researches, qualifies, and prioritises inbound leads to maximise sales team efficiency and close rates.

Isometric diagram of a lead pipeline: emails and contact records feed along tracks into a central processor and come out the other side tagged as qualified.

Every inbound lead arrived as a name and an email, and someone spent the first ten minutes of each one googling. The pipeline now does that research automatically, attaches what it finds to the record, and orders the queue so the team starts with the leads most likely to close rather than the ones that happened to arrive first.

Meet Your Revenue Operations Partner

Illustrated portrait of Mark Benjamin, looking out over a city skyline through a tall window.
Start at the roots, then build up. It should be systematic, flexible when necessary and smoothly driven by human ingenuity — like great jazz.
Mark Benjamin — on building modern systems.

After 8+ years across marketing, sales, customer success, and project management, managing work worth thousands to tens of millions a year, I’ve learned that businesses rise to the level of their operations. I got process focused early, looking at operations from the business side (redundancy, messy processes, resources spent on low-impact work) and the customer side (friction and inconvenience).

I help small and mid-sized Florida businesses compete by building modern systems that actually support the business objectives. Treat operations as a critical business function and you get supported workers, a reliable system that works, and a business that performs as expected. Less stress and better experience, on both sides of the counter.

A good fit

This is for you if

  • You know operations could be better and don’t have the time or the expertise to get there.
  • You’re open to implementing modern tools and modern process.
  • You value a real working relationship over a faceless agency or a support ticket.
  • You’re tired of wasted resources and generic tools nobody fully uses.
  • You want better visibility into how your business actually performs.
A bad fit

This isn’t for you if

  • You just want work done as fast and cheap as possible.
  • You want automation to replace your people rather than support them.
  • You want somebody to come in and fix your operations with zero time invested on your side.
  • You need marketing, sales, or customer service management. I handle the systems those teams work in, not the teams themselves.
  • You need a complex problem solved by next week.
